Privacy Policy
This Privacy Policy explains how Janus Payroll Technologies Ltd ("Janus Payroll Technologies", "we", "us"), the operator of Janus Payroll ("Janus", the "Service"), collects, uses, and protects personal data when you use the Service or visit our website. We process personal data in accordance with the Nigeria Data Protection Act and other applicable data protection laws.
Who we are
Janus Payroll is a payroll and statutory-compliance platform operated by Janus Payroll Technologies Ltd (RC 9453370, TIN 2623730825640), 1349 Ahmadu Bello Way, Garki, PO Box 6637, Wuse, Abuja, Nigeria. The two roles we play
When you create an account or visit our website, we act as a data controller for your account and contact information. When an employer customer uses Janus to run payroll, the employer is the data controller of its employees' personal data, and Janus Payroll Technologies processes that data on the employer's behalf and instructions as a data processor.
Data we process
- Account data: name, work email address, role, company, and authentication data for platform operators.
- Employee payroll data (on behalf of employers): names, contact details, employment details, compensation, statutory identifiers (such as tax and pension identifiers), bank account details used for salary payment, and payslip records.
- Operational records: audit-trail events (actor, role, timestamp, action) generated by the use of the platform.
- Technical data: log data and device/browser information needed to secure and operate the Service.
Free payroll check uploads
If you use the free NTA 2025 payroll check, you upload a payroll file and give us an email address. The file is used only to produce your report and is stored privately; nobody outside the Janus team can access it. The report link works for 7 days. The uploaded file and the report are deleted automatically 30 days after the report is sent. The request record (reference number, email address, and timestamps) is kept as an operational record. The check is not linked to a Janus account and creates none.
Why we process it
- To provide the Service: computing payroll, preparing statutory filings, disbursing salaries, generating payslips, and maintaining audit records.
- To secure the Service: authentication, session management, fraud and abuse prevention.
- To meet legal obligations that apply to us or to our employer customers, including statutory record-keeping.
- To communicate with you about the Service, including transactional notifications.
Payment processing
Salary disbursement is executed through third-party payment providers (Paystack and Flutterwave, both licensed by the Central Bank of Nigeria). Bank account details necessary to execute transfers are shared with the payment provider for that purpose. Janus is not a bank and holds no deposit account for you. When you fund a run, the money moves into the licensed payment provider's settlement balance and out to your employees in a single batch tied to that run; every leg is recorded in the activity log. Payment providers process data under their own legal obligations and agreements with us.
Service providers
We use a small set of infrastructure providers to run the Service, including Amazon Web Services (hosting and email delivery) and Paystack and Flutterwave (payment processing). Service providers act under contracts that restrict their use of data to providing services to us.
Retention
Payroll and audit records are retained for as long as needed to provide the Service and to meet statutory record-keeping requirements applicable to payroll and tax records in Nigeria, after which they are deleted or anonymised. Employers may request deletion of their data subject to those legal retention obligations.
Security
We protect data with measures including encrypted connections (TLS) for all traffic, role-based access controls, re-authentication for high-stakes actions, and append-only audit records of sensitive operations. No system is perfectly secure; we work continuously to protect the data entrusted to us.
Your rights
Subject to applicable law, you have rights to access, correct, and delete your personal data, and to object to or restrict certain processing. If your data is processed by Janus on behalf of your employer, we may refer your request to your employer as the controller. To exercise your rights, contact info@januspayroll.com.
Changes
We will update this policy as the Service evolves and will revise the "Last updated" date above when we do. Material changes will be communicated to account holders.
